Executive Committee Minutes FINAL

Monday, July 22, 7:00 p.m.

Gerry called the meeting to order at 7:10p.  Pr. Chris led us in prayer.

 

Minutes from the May executive committee meeting were approved without objection.  There were no changes or comments regarding the June 17 board meeting minutes.

 

Financial update from Wade

• Financial reporting is going well without Linda.
• Our consultant is recommending converting to QuickBooks. It is faster, cheaper and uses better technology than our current software program.  The price tag for converting is still being worked out.  The plan is to begin using it with the September accounting.
• Our financials are on budget YTD, and ahead with Nemec but that has not yet been applied.
• Wade did extensive research on the Mission in Motion funding. He moved that to clarify any confusion about funds available from MIM at the end of 2018, $128,715 shall be designated for mortgage payments (P&I) effective retroactive to January 1, 2019, to be consistent with the budget approved by the congregation.  Pastor Chris seconded.  Motion carries.
• The finance committee is working on a draft of cash management policy for August board meeting.
• Board financial training will wait until the new software and cash management policy are in place.

 

Pr. Chris’s Report

• Beyond… This is the title of the capital campaign, as our congregation is moving beyond debt and fears to a new vision and recapturing the ability to dream.  Goal is set at $3.33 million, which is service debt of $2.9 million plus capital expenses.  The goal is to reduce debt and also ignite congregation generosity. Discussion.
• Mellowhood Foundation. We have a partnership through Coach Hassad and they have activities in our building.  To ensure safety for this group and others, and our members and staff, we will create a policy with more complete background checks and signed contracts.  The board will review these contracts, along with access rights, keys, office usage, uses, times to manage our risk.  Chris and Rick will make a recommendation to the board.
• The RIC (Reconciling in Christ) task force has finalized the congregational survey and would like to send it out 8/5, with board approval. If they receive a 75%+ positive response to the survey, we will have a congregation meeting on 9/29 to vote on the statement. Approval of the statement would bring us closer to becoming an ELCA RIC congregation, which provides for equitable treatment of all members.  It is not a vote on same sex marriages, which will continue to be a pastoral decision.

 

Shared Leadership Task Force

• The task force met on 7/15 and is scheduling committee training make-up sessions. The board and staff are strongly encouraged to attend one of these if they have not already done so.
• As the task force completes the fulfillment of its mission, the board will be tasked with continuing its mandates.
• Board members are strongly encouraged to wear name tags between services and at other church functions.
• The worship committee will meet with SLTF on 8/13 to implement quarterly committee leadership commissioning services
• The board subcommittee meets on 8/6 to update the board on-boarding plan to be partially implemented this year, but more fully next year.
• The board is asked to be present and encourage participation in the Connections (ministry) fair scheduled for 9/22 at both campuses.
• Andrew and Pr. Chris are considering a format for reviewing the lead pastor and qualifications that have been suggested.

 

Rick reported that the dashboard trends continue.  Discussion.

Pr. Chris is working on job description for Sarah I, with hopes of completion by the end of August.
